Madeline Island Vacations Terms & Conditions

Madeline Island Vacations, LLC (MIV) represents properties that are individually owned and furnished by the owner of the property.  MIV asks that guests respect the property that you are renting.

Reservation confirmations will contain the following charges:
  • Rental Rate for your stay
  • A Non-Refundable Reservation Processing Fee
  • Any Additional Charges Requested Upon Reservation (i.e. golf package)
  • A Security Deposit Waiver Fee of $45.00 (on applicable properties)
  • Pet Fee of $100.00/pet per stay when applicable (if property is pet friendly)
  • State of WI and Town of La Pointe applicable Sales Tax which adds 12% to the total charge
 
Check In Time: 4:00 PM or After – we can accommodate late arrivals, please coordinate with our front desk staff
Check Out Time: 10:00 AM (please be prompt, additional charges will apply if you have not vacated the property by the 10 AM check out time)
 
Reservation & Payment Policy:
A reservation deposit of 50% of your total reservation is due upon making your reservation.  Reservations will not be considered confirmed until Madeline Island Vacations has received your deposit.  Once your deposit is received our cancelation policy applies to your reservation.

Balance Due - Each of our properties have the following balance due policies:

Please Note:  Reservations that are made six to twelve months in advance, for an extended duration (greater than seven days), or reservations for multiple properties may be subject to a greater than 60-day cancellation period and a 90-day balance due date.


Lake Superior Access (8+ Guests): 
The balance of your payment is due sixty (60) days before arrival; Sixty (60) days prior to your arrival Madeline Island Vacation will automatically charge the balance due to the credit card we have on file.  If you would like the final payment on another card, please contact us prior to the 60-day balance due date you can reach us at 888-747-2388 to make alternative arrangements. 
Lake Superior Access (Up To 8 Guests):  
The balance of your payment is due 60 days before arrival.  Sixty (60) days prior to your arrival Madeline Island Vacation will automatically charge the balance due to the credit card we have on file.  If you would like the final payment on another card, please contact us prior to the 60-day balance due date you can reach us at 888-747-2388 to make alternative arrangements. 
Lake Superior View - No Access:
The balance of your payment is due 30 days before arrival. Thirty (30) days prior to your arrival Madeline Island Vacation will automatically charge the balance due to the credit card we have on file.  If you would like the final payment on another card, please contact us prior to the 30-day balance due date you can reach us at 888-747-2388 to make alternative arrangements. 
Cabins/Cottages/Condos: 
The balance of your payment is due 30 days before arrival. Thirty (30) days prior to your arrival Madeline Island Vacation will automatically charge the balance due to the credit card we have on file.  If you would like the final payment on another card, please contact us prior to the 30-day balance due date you can reach us at 888-747-2388 to make alternative arrangements.
Motels/Suites/Studios/Apartments:
The balance of your payment is due 30 days before arrival.  Thirty (30) days prior to your arrival Madeline Island Vacation will automatically charge the balance due to the credit card we have on file.  If you would like the final payment on another card, please contact us prior to the 30-day balance due date you can reach us at 888-747-2388 to make alternative arrangements.
 
Cancelation Policies:
If you need to cancel a reservation, please notify MIV as soon as possible. All cancelations must be made by regular mail or electronic mail.  Notice of cancelation will authorize us to re-book the reserved unit. If unit is not re-booked, the entire amount paid will be retained by Madeline Island Vacations based on the individual property categorize listed below. 
  • There are no refunds for early departure. 
  • Any cancelations due to weather will not receive a refund or reduction in the reservation fees.
  • Any transfer between properties is considered a cancelation.
Canceling Lake Superior Access (8+ Guests) – Once confirmed there are no refunds on these properties.  Final balance is due 60 days prior to your arrival date.
Canceling Lake Superior Access (Up To 8 Guests) -  Cancelations received more than 60 days from your arrival date will receive a full refund less a $75.00 cancelation fee.  If your cancelation occurs less than 60 days from your arrival date, you will forfeit your entire amount.
Canceling Lake Superior View - No Access -  Cancelations received more than 30 days from your arrival date will receive a full refund less a $75.00 cancelation fee.  If your cancelation occurs less than 30 days from your arrival date, you will forfeit your entire amount.
Canceling a Cabin/Cottage/Condo - Cancelations received more than 30 days from your arrival date will receive a full refund less a $75.00 cancelation fee.  If your cancelation occurs less than 30 days from your arrival date, you will forfeit your entire amount.
Canceling a Motel/Suite/Studio/Apartment – Cancelations received more than 30 days from your arrival date will receive a full refund less a $75.00 cancelation fee.  If your cancelation occurs less than 30 days from your arrival date, you will forfeit your entire amount.

Maximum occupancy and minimum age to rent:
The listed maximum sleeping capacity is the maximum number of people that can be in the home at any given time during your stay... day or night. All adult guests must be 21 years of age to rent a private vacation home from Madeline Island Vacation unless accompanied by a parent or guardian. This is a commonly enforced industry standard; and, is strictly enforced by Madeline Island Vacations. Misrepresentation of age or occupancy can result in immediate eviction or additional fees.

Trundle. Bunk Beds and Sofa Sleepers:
If you are planning in using Trundle beds, Bunk Beds or Sofa Sleepers, you are responsible for providing your own bedding. 

Pets (dogs only):
Some of our properties allow dogs with prior approval for an additional fee per pet (limit two (2) dogs per property per stay.  The Town of La Pointe has a leash law in effect; and, owners must keep their dogs on a leash when outside.  Dog owners must also pick up after their pet.  MIV asks that you keep dogs of all furniture and bedding.  Reservations found with a pet without prior notice to MIV will charged a $250 fine with the credit card on file and will be asked to vacate the property immediately without a refund.

To bring your pet(s), guest(s) must agree to the following terms: 
  • Guests agree to keep their dog under control at all times. 
  • Guests agree to promptly report any damage caused by pet(s). 
  • Guests agree to pay any costs for damage done by pet(s) that exceeds the policy limit or is not covered under the damage insurance policy. 
  • If damages are not reported but are found by owners/agent, it will be documented and necessary replacement or repair costs will be charged to guest(s) credit card on file. 
  • Guests agree that their dog is housebroken. 
  • All pets must be up to date on rabies vaccinations and all other vaccinations. Heartworm preventative is highly recommended. 
  • Guests agree that the pet will not get on the furniture or bedding. There will be a $100 additional fee if pet hairs are found on the furniture or bedding. 
  • Guests agree that dog(s) will be rinsed of sand & dried thoroughly before entering the unit. Guest linens & towels should never be used on your pet! 
  • Guests agree that dog(s) will not be washed in the bathtubs or showers inside the unit. This must be done in the outside shower or with a hose. 
  • Guests agree to adhere to local ordinances, leash laws and licensing requirements. 
  • Guests agree to clean up after their dog(s) & dispose of their pet(s’) waste promptly. 
  • Guests agree to keep dog(s) from being noisy or aggressive, and from causing any annoyance or discomfort to others. Guests will remedy any complaints immediately. 
  • Madeline Island Vacations, LLC, and/or the Owners are not responsible for guests’ dog(s). Guests agree to pay agents promptly for any damage, loss or expense caused by their pets. 
  • No personal pet beds or other such items should be put in the washer or dryer! 
  • Repairs to screening on the porch will be assessed at labor charges for rescreening if your dog(s) break through the screen for any reason. 
  • All excess dog hair will be swept, vacuumed or otherwise picked up and removed from the inside of the unit prior to departure. 
  • “Vicious or Dangerous Dogs” trained for dog fighting or with any tendency or disposition to attack any dog, other domestic animals, or humans without provocation are not permitted at any time. Any dog with a recorded history of biting is strictly prohibited. 

Keys & Lock Out Charges:
MIV will have keys to your property available to you upon check in.  You will pick up the keys at our Check In Office.  We will make accommodations for late arrivals, please coordinate with our front desk.  Lost or no-returned keys will be charged a $25.00 fee to the credit card on file with our office.  If you find yourself locked out from a property and you need assistance from MIV, there will be a $35.00 minimum fee charged to the credit card on file.
 
No Smoking:
Smoking is not allowed in any of our vacation properties. If smoking outside, be aware of fire danger. Do not smoke directly in front of open windows or allow smoke to blow inside. Please use an ash can and properly dispose of all cigarette butts from property upon departure. You will be charged for clean-up if excessive cigarette butts are found outside. Parties found smoking in the home will be asked to leave immediately without refund and will pay an associated $250.00 cleaning cost.

Private Wells/Holding Tanks/Septic Systems:
Most of our homes outside of the immediate town utilize holding tanks or septic system.  Please let us know if any toilets are running or faucets are dripping. Each home will have an alarm that will sound or light that will let you know to contact Madeline Island Vacations.  Please do not flush any items except bath tissue and appropriate organic material.  All properties are served by their own private or shared wells.  Each year the County of Ashland test the water prior to issuing a certificate for renting. 

Furniture:
Please do not rearrange furniture or other items at your rental property.  All of our homes are privately owned and the arrangement is preferred by the owner. You may not agree with the placement of items; however, if you do move an item or piece of furniture, please return to its original location upon check-out.
 
TV/Internet/Phones/Other Amenities:
Most of our rental properties, but not all, have telephones, TV’s, Satellite Service, Cable Service and other amenities. It is your responsibility to check the amenities listed for the home you are planning on renting.  Every effort is made to ensure that the information on our websites is as accurate as possible. We are not responsible for incorrect assumptions regarding cell phone coverage, internet access, TV service, etc.  Amenities such as Satellite TV and internet are often affected by bad weather, we cannot guarantee their functionality; and, we will not provide any refunds or rebates in cases of failure.  If you do report a failure, we will make every effort to remedy the situation as soon as possible.

Garbage & Recycling:
Madeline Island is in a very unique situation since all or our waste and recycling must be hauled off the Island.  Because of this we do not have a traditional “dump” the Island.  We call it a transfer station and garbage and recycling are very distinct in how we handle them.  All properties will have appropriate cans listed for garbage or recycling.  We ask that you please separate these items.  If
There will be a $50 charge for trash left at the property or if any trash is scattered on the property.
 
Fires/Campfires/Grills:
All of our homes have grills available for our use.  If the grill is charcoal, you will need to provide your own charcoal and lighter fluid for the grill.  Propane is provided for gas grills. Never place charcoal grills on decks or touching any structures. Please clean grill after use.  For homes with wood fireplaces, please build safe and reasonably sized fires, damage caused by careless fires will be guests' responsibility.
Do not use indoor fireplace wood for campfires.
 
Lost & Found Items:
Madeline Island Vacations is not responsible for left or lost items.  Upon departure, please check for personal items in drawers, under beds and around the home.  Items that are left and found can be returned upon request, with a fee for retrieval, processing and shipping.  Unclaimed items will be disposed of 30 days after a guest’s departure date. 

Housekeeping & Maintenance:
Every effort is made to keep each of our rental property and its equipment in good working order; however, just like with your own home, failures do occur.  Please notify Madeline Island Vacations of any maintenance problems or difficulty you experience during your stay as soon as possible so repairs can be scheduled.  Please note that no refunds or rebates will be given for mechanical failures. However, if there are failures to necessary systems (such as water, hot water, heat or holding tanks) that cannot be resolved in a timely manner, we will make every effort to provide alternative accommodations or compensation. We appreciate your understanding.  Basic household products such as trash bags, paper towels, toilet paper, dish soap are provided. MIV provides basic bathroom soaps so please bring your own toiletries.  All homes are cleaned after departure, there is no housekeeping provided during your sat.  If you are interested in housekeeping services during a lengthier stay, please contact our office for availability and pricing options.

House Parties and Quiet Hours:
All of our homes are privately owned and our management contract with the owners prohibits house parties. Any guests abusing this policy will be asked to leave immediately with no refund and an additional $250 will be added to the rental fee. In general, neighbors are not tolerant of noise after 10:00 pm. Please make sure that, after this hour, music and voices are not audible outside of your rental.

911 Emergency Calls:
If a home does not have a land line phone, it is the guest’s responsibility to make arrangements for emergency calls and communications.  Madeline Island Vacations will not accept any responsibility for renters unable to contact 911 services or our afterhours maintenance emergency number in the event of an emergency if no phone is provided.

Indemnification:
The guest agrees to indemnify and hold individual homeowner, Madeline Island Vacations and its employees, free and harmless for any liabilities or any loss or damages whatsoever arising from, related to, or in connection with rental of the premises. This includes, but is not limited to any claim or liability for personal injury or damage or loss of property, which is made, incurred or sustained, by guest or guest of guest, or any occupants of the premise.
